Recreation Specialist - Arts & Entertainment

Position performs day-to-day duties involving event and production management at the Chesterfield Amphitheater and furthering the Chesterfield Arts & Entertainment offerings throughout the City and at various other events and programs. Responsible for ensuring the success of show and event production by managing the technical and personnel aspects through detailed preparation. Assist with contractual operations at the Amphitheater, City Hall and other venues where we are promoting the arts. Assist with the planning, development, marketing, and implementation of a broad range of Arts & Entertainment events and offerings. Assist with the acquisition of art for purchase and loan, art exhibits and installations, photography, and performing arts. Nights and weekends required.

This position requires a dynamic, customer service & detail oriented team player. Must have the ability to make quick, responsible decisions while keeping focus on quality and client service. The ideal candidate for this position will possess strong interpersonal and organizational skills with a respect and focus on quality. Excellent communication, organizational, time management and computer skills are a must. Strong initiative, problem solving and time management skills are essential.

  • 1-3 years Event/Production Management work experience.
  • Tour and Stage Production experience.
  • Marketing and/or ticketing
  • Experience in stage lighting, pro audio systems and basic video systems.
  • Ability to handle multiple projects simultaneously.
  • Ability to make clear concise decisions; sometimes with limited information.
  • Ability to cope with high levels of stress
  • Computer literate in Windows applications.
  • Must possess superior interpersonal communication and organizational skills.
  • Ability to work long hours that include a lot of nights and weekends throughout the busy season of April – October

Physical Demands/Working Environment:

Event and Production Managment:

  • Assists with advancing of all events with touring Artist production staff, including but not limited to backline rental needs, stage plots, load-in and load out schedule, transportation, hospitality, and merchandise sales
  • Obtain marketing and promotional materials from all artists
  • Create a production timeline/schedule to coordinate all technical and logistical aspects during load-in, show, and load-out.
  • Develop a unique site plan and detailed map for each relevant event, including a parking/traffic plan
  • Create a security plan and schedule any necessary security guards and officers to ensure safe and stress free events
  • Organizes and supervises the logistics of all parties involved with the productions of events.
  • Create advance packet to send to all vendors and sponsors with logistical information, production schedules, contact information and rules and regulations.
  • Assists in scheduling, staffing, ordering of equipment and gear for all Amphitheater events.
  • Serves as Venue representative on day of show and visiting Artist's on-site needs.
  • Acquire technical needs from the client and coordinate those technical requirements with the respective Lighting, Sound, Rigging, and Video supervisors.
  • Maintain a high level of communication between clients, all necessary departments, and vendors to ensure a smooth flow from initial production meeting to final load out for all clients.
  • Supervises daily set-up, Labor, Event Timeline sheets accurately and in a timely manner for assigned functions, to reflect all production needs throughout the Amphitheater.
  • Works with staff to maintain inventory control on all equipment and maintenance.
  • Ensure that all operational event contractual obligations are met, relative to staging and Event Rider and oversee all operational aspects of events to ensure their smooth operation.
  • Performs liaison duties between facility and production crews.
  • Manage all clients’ requests and work with appropriate staff to ensure requests are competed fully and on time.
  • In conjunction with the Superintendent, advance amphitheater events/shows (e.g. review concert riders) with clients and communicate event requirements to staff.
  • Maintain positive communication and serve as a venue resource for clients, up to and including the event day.
  • Participate in Event Meetings with Superintendent, communicating/delegating event specifics to responsible departments.
  • Act as primary point of contact for client services including preplanning event activities and making recommendations to event clients on optimal operating procedures.
  • Identify and make recommendations to Superintendent on operational improvements, increased profitability, and efficiencies.
  • Assist in establishing event equipment requirements, including sub rentals, quality control, delivery, pick-up, inventory control, repairs, and maintenance.
  • Manage daily set-up, labor, and event timeline sheets accurately and in a timely manner for assigned functions, to reflect all production needs throughout the amphitheater/event.
  • Works with Parks division for custodial maintenance with the property maintenance for repairs/maintenance to facilities and equipment
  • Enforce all rules including fire and safety codes, noise ordinance, while maintaining a glass and tobacco free facility.
  • Maintain positive talent relations by developing a solid understanding of the music industry, to ensure that artists and industry representatives have positive experiences in the venue
  • Ensure that all events, rentals, special events are executed properly, to both the guest and clients satisfaction.
  • Assist Superintendent with the management/updates to the Chesterfield Amphitheater website
  • Assist with all marketing plans and management of social media platforms
  • Set up/coordination and management of bars, including cash control and orders.

Box Office/Bar Management:

  • Supervises event ticketing/bar staff during event.
  • Coordinates with Superintendent to obtain sales information, schedules, etc. as it relates to ticketing.
  • Coordinates with Event Promoters to obtain necessary information to place event tickets on sale, including ticket builds, pricing tiers, discount codes, promotions/ads, any and all specials
  • Manages daily deposits, settlement, and proper accounting information for the Box Office.
  • Respond to requests from Superintendent and/or promoters for daily sales figures/event projections.
  • Coordinates with Eventbrite to generate information and prepare to put event tickets on sale.
  • Operates the Eventbrite Access Manager scanning system by installing all events, coordinates training of staff, and running necessary reports.
  • Consults with appropriate staff regarding ADA issues.
  • Build and foster relationships with other ticketing professionals and venues.
  • Act as first point of contact for customer concerns or related issues.
  • Maintain knowledge of current ticketing trends.
  • Fully in charge of setting up, testing and de-bugging box office ticket equipment on a regular schedule before and during all events.

Bachelor’s Degree in one of the following fields; Entertainment, Music Business, Arts, Parks & Recreation Administration, Hospitality, Marketing or a closely related field. Must possess a valid driver’s license, and maintain a safe driving record. CPR and AED Certifications are desired.
